Privacy Policy
This policy explains how Backplate Inc. handles information collected through the Backplate website and its contact options. It covers the public website, not the bookkeeping records handled under a signed service agreement.

1. Scope and who we are
This Privacy Policy applies to backplate.net and information collected through its pages, contact form, Calendly booking feature, WhatsApp links, and email communications. Backplate Inc., 22 South Field Falls, Monroe, New York 10950, operates the website. In this policy, “Backplate,” “we,” “us,” and “our” mean Backplate Inc.
This policy covers website visitors, prospective clients, and people who contact us through these channels. If you become a client, the signed service agreement governs the bookkeeping engagement and the handling of client records for that engagement.
2. Information we collect
Contact form. When you send our form, we collect your name, business name, email address, optional phone number, plan interest, and message. The form also sends a hidden anti-spam field, a form timing value, and a submission identifier. We use the anti-spam and timing information to help detect automated submissions.
Booking. Our Contact page can load an embedded Calendly scheduler for a 30-minute introductory meeting by Google Meet. Calendly collects the information you enter, including your name, email address, business name, selected time, and plan interest if you provide it. Google Meet may process information associated with a meeting. Calendly and Google provide these services under their own terms and privacy practices.
Email and WhatsApp. If you email us or send us a WhatsApp message, we receive the contents of your message and the ordinary information associated with it, such as your email address or phone number and the date and time. The website uses a wa.me link with a short prefilled message; it does not operate a WhatsApp chatbot. WhatsApp and Meta process chats you choose to send through WhatsApp.
Technical and security information. Our hosting and delivery providers may process technical information needed to deliver the website, such as IP address, browser or device information, requested pages or files, and date and time. Our hosting provider also records page views, as described in section 5. The contact endpoint uses IP address and email address for rate limiting and uses a short-lived hash of an email address and message, plus a submission identifier, to prevent duplicate deliveries. Its server logs do not include contact-message contents. Our Content Security Policy report endpoint receives limited technical violation data, such as the blocked origin or keyword, directive, page path, and disposition; it removes query strings, script samples, and IP addresses from the compact reports it logs.
Please do not send Social Security numbers, bank logins or passwords, or tax documents through the contact form, email, or WhatsApp. The website has no client portal, bank connection, or online payment feature.
3. How we use information
We use information to respond to inquiries, discuss a potential engagement, schedule and hold a meeting, operate and secure the website, prevent spam and duplicate messages, troubleshoot errors, maintain business records, and comply with legal obligations. We may also use or disclose information when reasonably necessary to protect the rights, safety, and security of Backplate, our visitors, or others; to address fraud or a dispute; or to respond to lawful requests.
We do not use contact-form messages, booking responses, email messages, or WhatsApp messages for behavioral advertising. We do not use advertising or tracking pixels on this website.
6. Retention
We keep information for as long as reasonably needed for the purpose for which it was collected, including responding to an inquiry, maintaining a business relationship and related records, protecting the website, resolving disputes, and meeting legal or records-retention obligations. The appropriate period depends on the information, the relationship, and any applicable obligation.
Contact-form messages, email, and related correspondence are kept in our business mailbox for as long as needed for the inquiry or relationship and our records obligations. Information that is no longer needed is handled consistent with our operational needs and applicable law. A provider’s backup or independent retention practices may apply to information in its systems.
7. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect the information covered by this policy. These measures include limiting access to people and providers with a business need, using authenticated encrypted mailbox access for contact-form delivery, and using technical measures intended to prevent spam and abuse. No security measure, internet transmission, email system, or hosted service can be guaranteed secure.
Because email and WhatsApp are not appropriate for highly sensitive records, please do not send Social Security numbers, bank logins or passwords, or tax documents through the contact form, email, or WhatsApp.
8. Privacy requests and Nevada no-sale requests
You may ask us to access, correct, or delete website-related personal information we hold about you by emailing hello@backplate.net with “Privacy Request” in the subject line. Tell us what you are requesting and the email address or other information we should use to locate the record. We may request information reasonably necessary to verify your identity and authority before acting. We may retain information when needed for a legal obligation, records requirement, security, fraud prevention, or dispute.
Nevada residents may submit a verified request concerning the sale of covered information by emailing hello@backplate.net with “Nevada Privacy Request” in the subject line. Backplate does not sell covered information. We will respond to a verified Nevada request within 60 days. If we need an extension, we will notify the requester and respond no later than 30 additional days after that period.
9. U.S. service and international processing
Backplate provides its services to businesses in the United States. We operate from New York. Information we handle directly is used in connection with our U.S. operations. Third-party providers may process or store information in countries other than the United States under their own practices, so information submitted through an embedded or linked provider may be processed outside the United States.
10. Children
The website is intended for business use and is not directed to children. We do not knowingly collect personal information from children under 13. If you believe a child has provided information through the website, please email hello@backplate.net so we can review the request.
11. Changes to this policy
We may update this policy as our website, service providers, practices, or legal obligations change. We will post the updated policy on this page and change the effective date. If a change is material, we will highlight the change on this page and provide any additional notice required by law.
12. Contact us
